Upgrading to DVMAX 7.5 Server

NOTE: Before proceeding, you MUST have completed the following steps:
  1. Review and verify all computers that will use DVMAX meet the system requirements.
  2. Have completed an upgraded questionnaire and been approved to use DVMAX 7.5.

Step 1: Export Users and Passwords

  • Log in to DVMAX as the Administrator user.
  • From the Section menu, select General Management.
  • The General Management dialog opens. Click the Utilities tab.
  • Select Set Passwords & Users and click OK. The Tool Box opens. 
  • Click the Groups icon on the left side of the window to change to the Groups view.
  • Click the Save Users & Groups button  at the bottom of the window:

  • The Save As dialog will open.
  • Select your Desktop, name the file passwords7 and click Save.
  • Close the Tool Box by clicking X in the window title bar.
  • Close the DVMAX. From the DVMAX menu, select Quit.

Step 2: Backup your DVMAX Data.

  • On DVMAX Server, go to File -> Backup.
  • When the Backup dialog appears, click the Backup button.
  • When the Backup is finished, Quit DVMAX.

If you'd like to make a manual copy of your data instead...
  • Quit DVMAX Server.
  • Copy your datafile, typically located in:
Macintosh: Macintosh HD:DVMAXDatabaseFiles:DVMAXDataFolder
Windows: C:/DVMAXDatabaseFiles/DVMAXDataFolder/


Step 3: Uninstall Existing DVMAX Software

Windows:
  • Go to Start -> Control Panel -> Add/Remove Programs or Programs and Features
  • Highlight DVMAX in the list and click Uninstall/Remove

Macintosh:
  • Browse to your Applications folder.
  • Click and Drag your DVMAXProgramFiles7 folder to the trash.


Step 4: Install DVMAX 7.5 Software.

All DVMAX installers can be found on your user site at http://users.dvmax.com on the Downloads tab.

  • Locate the DVMAX 75 Installer and double click it to get started.
Note: If you are running on a Windows 64-bit machine, be sure to use the DVMAX75 64 Bit installer.
  • Follow the Installer prompts, and be sure to install DVMAX ServerDVMAX 7-7.5 UPGRADER, and DVMAX Client.


Step 5: Launch DVMAX UPGRADER

  • Launch the DVMAX Upgrader (NOT DVMAX Updater!) program which is located in:
Windows: C:/Program Files (x86)/DVMAXProgramFiles75/DVMAXUpgrader/
Macintosh: Macintosh HD:Applications:DVMAXUpgrader
  • Log in as Administrator with no password.
  • When prompted to select a file, point it to your datafile.
  • The program will launch and after a few minutes it will ask if you want to Delete Subtables. You must click OK.
  • A dialog will appear showing the progress of the deletions.
  • Once the deletions are done, click OK to proceed.
  • The program will then prompt to export a Record Count. Name this file records_before and also save it on your Desktop.
  • The program will prompt to export boarding cages. Name this file boarding_cages and save it to your Desktop.
  • Click OK to quit the DVMAX Upgrader.
  • Lastly, browse to following location:
Windows: C:/Program Files (x86)/DVMAXProgramFiles75/DVMAXUpgrader/Database/
Macintosh: Macintosh HD:Applications:DVMAXProgramFiles75:
  • Locate the SubRecordsExport folder and drag it to your Desktop for access later.


Step 6: Apply DVMAX Updater

  • Unzip the pre-downloaded DVMAX Updater program from the DVMAX User site.
  • Open the DVMAX Updater program from the extracted zip file.
  • Once the Updater program launches, go to the File menu (Or DVMAX Updater menu on Mac) and choose Preferences.
  • Type in your License and DVMAXID, then click Close.
  • If you get an error, re-check you typed in your license correctly. If you get Error 0, quit and Re-launch DVMAX Updater.
  • Select the DVMAX Server radio button. If the program asks you to locate the program, navigate to it here:

    Windows: C:/Program Files (x86)/DVMAXProgramFiles75/DVMAXServerFolder/DVMAX.exe
    Macintosh: Macintosh HD:Applications:DVMAXProgramFiles75/DVMAXServer
  • Highlight the pre-downloaded update on the right, then click Install Update. Confirm any prompts that appear.
  • When the Update Complete message appears, click OK and Quit the DVMAX Updater program.



Step 7: Launch DVMAX Server

  • Double click DVMAX Server on the Desktop.
  • At the first prompt, click OPEN to select a datafile.
  • Point DVMAX to your datafile and click Open.
  • The IMPORT process will begin importing records from your old datafile into a NEW datafile.
  • When it's complete, you'll see a graph window, click Done.
  • The new DVMAX Server application will open and the data upgrade process will begin.
* This step could take a 1-3 hours in most cases, but could take several hours for 15+ Workstation sites. *
  • The upgrade will be complete when the 'Checking' dialog window disappears.


Step 8: Configure Backup

We recommend the following configuration:
  • Click on the Maintenance Tab, then click on the Preferences button to configure your backup.
  • Change Automatic Backup to Daily.
  • Set the time (military format) for when your practice is least busiest or closed.
  • Click the Configuration tab.
  • In the Attachments area, click 'Add File...'
  • Point to the location of your datafile folder and select the .4DIndx, 4DSyncData, .4DSyncHeader, and .Match files as attachments.
  • For the Backup Destination, click the '...' button to the right.
  • Set the Backup Destination to your DVMAXBackupsFolder, typically located in:
C:/DVMAXDatabaseFiles/DVMAXBackupFolder on Windows
Macintosh HD:Documents:DVMAXDatabaseFiles:DVMAXBackupFolder on Macintosh
  • Check the Use Log File box. A dialog will ask you where to save the Journal File. Save it in the same folder as your data, typically located in:
C:/DVMAXDatabaseFiles/DVMAXDataFolder on Windows
Macintosh HD:Documents:DVMAXDatabaseFiles:DVMAXDataFolder on Macintosh
  • Click the Backup & Restore tab.
  • Set the If Backup Fails choice to Retry at the Next Scheduled Date and Time, or any other option of your liking. If you set it to retry differently, make sure you check the box to Cancel the operation after a certain number of attempts to avoid endless backup attempts and failures.
  • Click OK to save the Backup settings - DVMAX will then perform it's first backup

Step 9: Configure Cache

  • Go to the File menu and choose Database Settings.
  • Click on the Database / House icon.
  • Click on the Memory tab.
  • Change the Maximum Size to a higher valiue, depending on your system.
  • If you're running Windows 32-Bit Server, set the Maximum size below 1000 mb. (We recommend 700 MB)
  • If you're running Windows 64-Bit Server, set the Maximum size to 3-4 GB, if you have the free memory.
  • If you're running Macintosh Server, set the Maximum size below 2 GB. (We recommend 1500 MB)
  • The other values listed on this page should be left at their defaults. Changing any other values could have an adverse affect on your system.

Step 10: Import Boarding Cages and Subtables

  • Launch DVMAX Client on the Server.
  • Go to the Section menu, hold down SHIFT and click System Constants.
  • Click the I Understand button.
  • Click on the Functions tab.
  • Near the top right, click Execute Method.
  • Type boarding_cageImport and click OK.
  • Browse to the boarding_cages.txt file on your Desktop from Step 5 and click Open. The records will import immediately.
  • Near the top right, click Execute Method again.
  • Type subtable_import and click OK.
  • Browse to SubRecordExports Folder on your Desktop from Step 5 and click Open.
  • DVMAX will begin importing the SubRecords and show a progress dialog at the top left. The dialog will disappear when the import is completed.
  • Close out of the Functions window by clicking the "X".

Step 11: Import Passwords

  • Login to DVMAX as the Administrator user if you have not done so already. 
  • From the Section menu, select General Management. The Management Functions dialog opens.
  • Click the Utilities tab.
  • Select Set Passwords & Users and click OK.  The Tool Box opens.
  • Click the Groups icon on the left side of the window to change to the Groups view. 
  • Click on the Gear icon at the bottom right and choose Load Users and Passwords.
  • Click Desktop and select the Passwords7 file you saved before beginning your upgrade and click Open. Users and Passwords are loaded.
  • Click the Users icon on the left side of the screen.
  • If desired, select the Administrator user and click Edit to set a password for this user.
  • Enter the desired password, confirm the password, and click Change.
  • Click the X in the window title bar to close the Tool Box.


Step 12: Export Record Counts

  • In DVMAX Client, go to the Section menu and choose General Management.
  • Click the Utilities tab, then choose Record Count Report.
  • When prompted to Print or Export, choose Export.
  • Name the file records_after.txt and save it to your Desktop.
  • Save this file for the next step.


Step 13: Compare Record Counts

Although the upgrade is complete, it is very important to verify the record counts in your data.
While no data loss is expected, this is the only way to double check your work.

  • On the Desktop, open the records_before.txt and records_after.txt.
  • Compare the record counts for each table between the two files to verify record loss has not occurred.

Step 14: Windows Only: Configure Windows Firewall

Depending on your setup, Windows Firewall might be active on your server. It is important to exclude DVMAX from Windows Firewall so that other computers can connect to DVMAX Server.

  • Choose Start -> Control Panel
  • Locate Windows Firewall and open it.
  • If you do NOT see it, locate 'System & Security' and Open it - then choose Windows Firewall from there.
  • On the left - if Windows Firewall is ON, choose 'Allow a program through Windows Firewall'.
  • A list of Applications will appear. Click Browse at the bottom and point to DVMAX Server.

Step 15: Windows Only: Set DVMAX Server up as a Service (optional)


Some sites prefer to run DVMAX as a Service. It is not necessary, but a preference. If you are not sure what a service is, then skip this step. Otherwise, follow these steps to configure DVMAX Server as a service.

  • Launch DVMAX Server normally.
  • Once the program is open fully, go to the File menu and choose Unregister all Server Services.
  • Go back to the File menu and choose Register database as a Service.
  • Quit DVMAX Server.
  • Go to Start and type in 'Services' in the search window. Launch the Services program.
  • At the top of the list, double click the 4D Server Service.
  • Set the login method to Automatic.
  • Click "Start" and click OK.
DVMAX Server is now running as a service.
